Forward Call Summaries as Notes

Last updated October 12, 2026

Many phone systems (RingCentral, Zoom Phone, Dialpad, OpenPhone and others) email you an AI summary or a full transcript after each call. Instead of copying it into JourneyFuse, forward that email to your workspace's Call Notes Address and it is saved as a call note on the right record.

Find your address

Go to Settings → Email and find the Call Notes Address card. Click Copy.

The address looks like calls+your-agency@mail.journeyfuse.com. Every workspace has its own.

Tip: Save the address as a contact named "JourneyFuse Call Notes" so forwarding is two clicks. If your phone system can send its summaries to an extra address automatically, add this one and you won't need to forward at all.

Forward a summary

Forward the email from the email address you sign in with, or from one you have verified as an alias. Mail from any other address is ignored, so nobody outside your agency can add notes to your records.

Anything you type above the forwarded message is kept at the top of the note, so you can add your own line ("Wants Rome first, then Florence").

Where the note lands

JourneyFuse looks for the caller's phone number (or email address) in the summary and checks it against your leads and clients. Your own team's numbers and emails are skipped, so your line never counts as the caller.

  1. An open lead with that number gets the note.
  2. Otherwise, a client with that number gets it on their trip, when they have exactly one active trip.
  3. A client with no active trip, or more than one, gets it on their client profile.

The note is a Call note, visible to your team, with you as the author.

When it can't tell

If no lead or client has that number, or the number belongs to more than one person, nothing is saved and you get an email saying why. Add the caller's phone number to their lead or client profile and forward the summary again, or paste it into their notes by hand.

This is part of JourneyFuse’s travel advisor CRM: clients, leads, travelers and their trip history.
