Client Notes

Notes let you record conversations, follow-ups, and important details directly on a client's timeline. In team workspaces, you can @mention colleagues to loop them in and trigger notifications.

Adding a Note

From a client's detail page, the Notes card on the Overview tab has an Add Note button. Type the note and click Save Note and it appears straight away, newest last, with a timestamp. Hover a note to edit or delete it.

The Timeline tab takes notes too, and shows them interleaved with the client's activity history.

Notes are also available on trip detail pages — any note you add to a trip is tied to that specific trip's timeline.

What clients want remembered

Preferences that belong to the person rather than to one conversation are better recorded as fields than as notes, because the app can then show them on every trip. Edit profile > Preferences holds seat and meal preference, preferred airlines, hotel chains and cruise lines, room type, travel insurance, and four free-text boxes: Special Requirements / Notes, Dietary Restrictions, Allergies / Medical, and Accessibility Needs. Anything recorded there shows in the Travel preferences block on the Overview tab.

Per-traveler versions of the same preferences live on the Travelers tab: expand a traveler and open their Preferences tab. Use those when the party differs, for example one traveler with a shellfish allergy.

Older notes

Two labels can appear on notes in the card:

Where Notes Live

Notes are attached to a specific record:

Each note records who created it and when, so you always have a clear audit trail.

@Mentions

In team workspaces, type @ followed by a team member's name to mention them. A dropdown shows matching workspace members — select the person to tag them.

When you mention someone:

  1. They receive an in-app notification with a link to the note
  2. They receive an email notification with a preview of the message

You can mention multiple people in the same note. You won't receive a notification if you mention yourself.

Note History

Notes appear in reverse chronological order on the timeline (newest first). Each note shows:

  • Author name — who wrote it
  • Timestamp — when it was created
  • Full text — including any @mentions displayed as highlighted tags

Notes added on the Overview tab can be edited or deleted from the same card. On the Timeline tab they stay as written, so add a new note there if you need to correct something.
