Client Agreements & Document Sign-Off

When you need a client to confirm in writing that they have read and agreed to something — your service agreement, a cancellation policy, a supplier waiver, a change form — you can send it from their client record and have them sign it online. They get a private link, they read it, they type their name, and JourneyFuse keeps the record.

Sending an agreement

  1. Open the client, then the Files tab.
  2. In the Service agreement card, click Send for signature.
  3. Give them something to sign. You can do either of these, or both together:
    • Attach a document. Upload the PDF (or Word file) you want them to sign off on. This is the option to use when you already have the document and it does not live in JourneyFuse.
    • Include saved terms. Tick any of your reusable Terms & Conditions blocks. These are the ones you set up under Settings → Agency & Branding → Defaults, in the Terms & Conditions card.
  4. Set how many days the link should stay valid. Thirty days is the default.
  5. Click Send link.

If the client has an email address on file, they are emailed the link automatically. If they do not, JourneyFuse still creates the link and shows it to you so you can copy it and send it yourself.

You do not need saved Terms & Conditions to use this. Attaching a document is enough on its own, so a PDF you already have can go out for signature without retyping any of it into JourneyFuse.

What the client sees

The link opens a page carrying your branding (or your advisor's own branding, in a multi-advisor agency). It shows the agreement text, a button to open the attached document if there is one, and a box to type their full legal name. Their email is optional.

The page tells them plainly that signing is electronic and that their name, the date and time, and their IP address are recorded.

Once they sign, they see a confirmation and can still open the document to keep a copy. You get an email letting you know they signed.

What gets recorded as proof

Each signed agreement stores:

  • The name they typed
  • Their email, if they gave one
  • The date and time they signed
  • Their IP address
  • The exact agreement wording they saw, kept as it was at the moment of signing
  • The name of the attached document, if there was one

The Files tab shows each agreement with its status, who signed it, and which document it covered. Click the eye icon on a signed row to read back exactly what they agreed to.

Keep your own copy of anything you may need to produce later. The document name is kept as a snapshot on the agreement, so if you delete the file from the client's Files the signature record survives and still names what was signed. The file itself is gone, though.

Expiry, revoking and re-sending

A pending link stops working once its expiry date passes. You can also Revoke a pending link at any time, which kills it immediately without deleting the record that you sent it.

To send a corrected version, revoke the old one and send a new agreement. Sending the same wording with the same document twice within a couple of minutes reuses the first link rather than creating a duplicate, so a double-click does not send your client two different links.

Which tool to use for what

JourneyFuse has several ways to capture a client's agreement, and they are not interchangeable. Pick by what you are collecting:

All of these except the form field record an IP address alongside the typed name.

Limitations worth knowing

  • Signatures are a typed name, not a drawn one, and there are no placed signature fields or initials boxes inside the PDF. The client signs the agreement as a whole rather than signing on a line within the document.
  • Only one document can be attached to an agreement. If you need several signed together, combine them into a single PDF first.
  • There is no countersignature. The record captures the client's agreement, not yours.
  • Attaching a document also saves it to that client's Files. It is not published to the client portal, so the only way they reach it is the agreement link itself.
