Before you place a deposit, you often want the client to look over the details: names spelled like their passports, the right dates, the right room type. Client Document Review lets you share a document from the trip, ask the client to review it, and get back a clear answer: Everything looks correct or Report a problem, with a note.
Every answer is saved with the client's name, the date and time, their IP address and browser, and the exact version of the file they reviewed. If you later replace the file, the review starts over automatically, so a "Confirmed" status never sits on a file the client never saw.
Perfect for: preliminary FIT confirmations, hotel and rail itineraries before the deposit, cruise booking summaries, name and date checks for air, and any "please double-check this before I book" moment.
Open the trip and scroll to Documents. Upload the PDF or image (a screenshot of the booking works fine). Booking documents listed there can be reviewed too.
That's it. The document now shows an Awaiting review badge.
Requesting a review shares the file. If the document was marked Agent only, it becomes visible to the client, because they can't confirm a file they can't open.
The client can answer in two places:
The badge on the document updates:
| Badge | Meaning |
|---|---|
| Awaiting review | Nobody has answered yet |
| Confirmed Sep 13 | The client confirmed the document is accurate |
| Issue reported | The client told you something is wrong. Open the panel to read their note |
You'll also get a notification in your bell the moment the client answers. It goes to the advisor assigned to the trip, or to whoever requested the review if the trip has no advisor assigned. Open the clipboard panel to see who answered, when, whether it came through the portal or the link, and any note.
When a client reports an issue:
If nothing about the file changed (say you clarified something by phone), click Ask again to reset the status without replacing the file.
To stop asking altogether, click Stop asking. Answers the client already gave are kept.
Each answer keeps:
The previous file is kept in storage when you replace it, because it's what an earlier answer was given against.
Enter a supplier's price in euros, pounds or any other currency and show your client the amount they were quoted alongside an estimated conversion into your agency's currency.
See agency terms acceptance, supplier T&C status and insurance decisions for a trip in one place — including everything signed during proposal checkout.
Track plans and confirmations, choose view-only or contributor sharing, and let travelers manage their own reservations.
