Client Emails: What Goes Out on Its Own

Some agencies automate almost everything. Others want to decide every email a client receives. Most are somewhere in between. Settings → Client emails shows every email JourneyFuse can send a client without you writing it, so you can set that balance in one place.

Emails you write and send yourself aren't listed. They only go out when you press send.

On a schedule

These go out on their own once they're on.

  • Trip automations. Booking confirmations, reminders and countdown emails you've set up. The row shows how many are on and how they join trips. Each automation's Runs on decides that: Every trip, Matching trips (a supplier or tag), or Only trips I add. See Automations.
  • Payment reminders. Emails before and after each payment on an invoice is due. The switch is right on the page. Timing and wording are on the Payments page.
  • Monthly balance statements. A monthly email showing what a client still owes.
  • Card authorization and insurance waiver follow-ups. A reminder when a client hasn't finished something you sent.

When you do something

Nothing here sends on its own. You choose each time.

  • Sharing a document with the client. When you share a file, a tick offers to Email [name] now. It starts ticked; untick it to share the file quietly and tell the client yourself later. Turn the switch on this page off and sharing a file never emails anyone. See Documents.
  • Payment receipts. A tick on each payment you record asks whether to email a receipt.
  • Moving a trip to Paid or Traveling. A tick in Edit trip offers a short "Payment Confirmed" or "Bon Voyage!" note. It starts unticked.
  • Proposal follow-ups. Chosen each time you send a proposal.

Stopping them for one trip, client or advisor

  • One trip: the Automations switch on the trip's Messages tab stops its automated emails, payment receipts, status notes and document emails. Your other trips keep going.
  • One client: on the client's page, ⋯ then Stop campaigns and automated emails.
  • One advisor: under Settings → Advisors, each advisor's Client email can be Sending, Held for review, or Testing mode.

Only owners and admins (or a solo advisor) see this page, because its switches apply to the whole agency.
