One Trip Paying for Another in a Group

Last updated October 12, 2026

Sometimes one family pays for everyone. A grandparent covers the cousins, or one couple puts the whole group on their card. Each family still has its own trip, its own booking and its own invoice, but one person is the one handing over the card. Paid by another trip? lets you say so, so you can collect one card for everyone and stop payment emails going to families who owe nothing.

This only works for trips in a group. The control shows on a trip's Payments tab only when the trip belongs to a group.

When one person pays for several families

Each family keeps its own trip, so the value, the invoice and the balance for each family stay separate. What changes is who pays:

  • The paying trip is the trip of the person with the card.
  • The covered trips are the other trips in the group that the payer is paying for.

You tell JourneyFuse which trips are covered, and everything else follows from that: the card request, the charge, the reminders and what the families see.

Set who pays

  1. Open the covered trip and go to the Payments tab.
  2. Under the money summary you will see a line that reads "This trip’s travelers pay for it". Click Paid by another trip?
  3. In Who pays for this trip?, choose the trip that pays. The list shows This trip’s travelers plus the group's other trips.
  4. Click Save.

The line now reads "Paid through trip name (client name)", with a Change button. On the paying trip, the same spot reads "Also pays for trip names".

Setting a payer also adds the paying trip's lead client to the covered trip as someone Not traveling, so the person who pays is on the covered trip's record without being counted as a traveler.

One level only. A paying trip can't itself be paid for, and a trip that pays for others can't be paid for. If you try, the trip is not offered in the list.

To undo it, click Change, choose This trip’s travelers, and click Save. Everything returns to normal: reminders resume and the portal shows the usual payment options.

One card for everyone

Ask for the card on the paying trip:

  1. Open the paying trip and go to Payments.
  2. Start a card request. In What is this for?, the paying trip's own bookings are listed first, then each covered trip's bookings under that trip's name.
  3. Tick the bookings you want on the card, across as many trips as you need.

The client gets one card authorization link for the whole amount. See Card Authorizations for how the form, terms and storage work.

Charging the card

Run the charge through your supplier or processor as usual, then use Mark Charged on that card.

Each part you charged against a covered trip's booking is recorded on that covered trip and on its invoice. The payment lands where the money belongs, so every family's balance is right. The receipt goes to the cardholder.

Reminders

  • The covered trip sends its own travelers no payment reminders. It also sends no automatic card links and no planning-fee reminders.
  • The paying trip's reminders don't change. They cover the paying trip's own payment schedule only.
  • You charge the covered trip's share with the card, as above.

If you clear the payer, the covered trip's reminders pick up again from its normal schedule.

What the families see

On the client portal and in the app, the covered trip still shows its balance, so the family can see what the trip costs and what has been paid. Where the Authorize a Payment button would be, it says "Payer name is taking care of payments for this trip."

If you create a card request directly on the covered trip, it still shows to that family, so you can still collect from them when you need to.

The paying trip's portal is unchanged.
