Sharing a Client with a Teammate

Sometimes one client needs two people. You are away for a week and a colleague is covering. Your group VA builds the bookings and takes the payments while you own the relationship. A new advisor is shadowing you on a big family trip. Sharing a client gives one teammate access to that client and nothing else. They don't see the rest of your book, and your book doesn't change hands.

Sharing never moves ownership or money. You stay the client's advisor, the trips stay assigned to you, and commission is attributed exactly as before. To pay a helper for their part, add them as a mentor or split on the commission. See Mentor & Trainer Splits.

Perfect for: vacation cover, a VA or assistant who books for you, a co-advisor on a large group or family, and shadowing a new advisor on one client.

What a Teammate Can See and Do

There are two levels of access:

View is read-only. If a teammate with View access tries to change a trip, JourneyFuse stops the change and tells them to ask you for edit access. The trip page also shows a banner saying so.

Your own mailbox stays yours. If you've connected Gmail or Outlook, mail synced from that mailbox is never shared, whatever level you pick. A teammate sees the emails JourneyFuse sent to the client (proposals, invoices, automations, messages you sent from JourneyFuse), not your personal inbox.

Private notes stay private. A teammate sees notes marked for the team, not notes you kept to yourself.

How to Share a Client

  1. Open the client from Clients.
  2. In the header, next to the advisor's name, click Share.
  3. Choose a teammate and pick Can edit or View.
  4. Click Share.

Your teammate gets a notification in the bell right away. If they have Settings → Notifications → Assigned to me switched on (it is on by default), they also get an email with a link to the client.

Once a client is shared, the header shows Shared with and the teammates' initials. Hover over one to see their access level, or click to open the sharing window.

Changing or removing access

Open Share again. Next to each teammate you can:

  • Switch between View and Can edit. It takes effect immediately and doesn't send a new notification.
  • Remove them with the trash icon. They lose access right away, including to any trip page they have open.

A teammate can also take themselves off a client: they open Shared with on the client and click Remove my access.

Who Can Share

  • The client's advisor, meaning the person the client is assigned to.
  • Agency owners and admins, for any client.

A teammate you've shared a client with can't share it with anyone else, even with Can edit.

Finding Clients Shared with You

When clients have been shared with you:

  • Clients shows a Shared with me button next to the Active/All/Archived filter, with a count. Click it to see only shared clients.
  • Trips shows a Shared with me button in the toolbar (it's also under Filters → Client). It lists the trips of every client shared with you.
  • Shared clients and their trips carry a small Shared badge in both lists.

Shared clients sit in your normal lists alongside your own.

If two advisors share everything, ask an owner to put them on a team (see Manage Advisors & Staff). If they share a handful of clients, sharing is the lighter tool.

Tips From Top-Performing Agents

  • Share before you leave, not after. Set up vacation cover the day before. Your colleague can then see what's coming up without waiting on you.
  • Give a VA "Can edit" and keep yourself the advisor. Bookings and payments they add land on your trips, and new trips they start default to you, so your reporting and commission stay whole.
  • Clean up when the cover ends. Remove the share when you're back so your colleague's lists stay focused.

FAQ

Does sharing change who gets paid? No. Sharing only controls who can see and work the client. Commission follows the trip's advisor. To pay the teammate, add a mentor or split on the commission.

If my VA creates a new trip for a shared client, who owns it? You do, by default. When a teammate with Can edit starts a new trip for a client you shared, the trip form shows an Advisor field set to you, the client's advisor. The trip, and the commission that follows it, are yours. They can switch it to Me if the trip really is theirs. A teammate with View access can't put a trip under you.

Can my VA add bookings to my existing trips? Yes, with Can edit. They can open the trip and add a booking there. Your trips also appear in their Move booking and New proposal trip pickers. Bookings always belong to their trip, so they stay under you.

Can a teammate with View access add a note or a task? Yes. Notes and tasks are open to everyone on the team, and those stay editable. View access blocks changes to trips, bookings, payments, invoices, proposals, itineraries and travelers.

Can I share with a Lite (external) advisor? No. Sharing is for full members of your agency.

Does the teammate see my synced Gmail or Outlook threads? No, never. Only the email JourneyFuse sent to the client is shared.

What happens if I delete the client? The shares are removed along with the client.
