Insurance Dashboard

Last updated November 7, 2026

The Insurance page (sidebar, under Tools) shows every booked trip leaving in the next 12 months and where each one stands on travel insurance. It answers one question fast: which clients still haven't given me a yes or a no, and who's leaving soon?

A trip counts once it's Deposited or Paid. Leads and trips still in planning have nothing to insure yet, so they're left out.

Settled and open

Every trip lands in one of two groups.

Settled, nothing more to do:

  • Bought through you: the trip's Insurance status is Accepted, or a confirmed insurance booking is on the trip.
  • Own policy: the travelers already have coverage, either an annual policy saved on the traveler or an "I already have coverage" answer on a waiver.
  • Declined: the client declined, or you marked the trip No coverage. The All trips tab tells you whether a signed declination is on file or the trip was only marked declined by hand.

Open, still needs an answer:

  • Wants a quote: the client asked you to price coverage. This is on you.
  • Waiting on client: a waiver or offer is out and its window is still open.
  • Window closed: the waiver's deadline passed with no answer. There's nothing left for the client to click, so call them or send a new waiver.
  • Never asked: the trip was booked with no insurance offer or waiver at all.

Group trips with several roster members show as Group roster: insurance on those is tracked per traveler on the group's roster, so they aren't counted as settled or open here.

The status comes from the same place as the Insurance chip on each trip. Change the chip on the trip and the dashboard follows.

Overview

The top of the Overview says how many upcoming trips aren't settled and how many of those leave in the next two weeks.

Below it is the departure timeline. Every trip is a dot on the day it leaves. Settled trips sit low on the line; open trips rise above it with the client's name, so the ones that need you stand out. The shaded band is the next two weeks. Switch between 30 days, 90 days and 12 months. When several trips leave on the same day they share one dot, labelled with the most pressing one and a count (for example "Alex Santos +2"); hover the dot to see them all. Click a dot to open the trip.

Needs you is your to-do list, soonest departure first:

  1. Wants a quote
  2. Window closed, no answer, with when the waiver was sent, whether it was opened, and how many reminders went out
  3. Leaving soon, still waiting: open waivers on trips leaving within 30 days
  4. Never asked

Each row has Open trip, and Copy link when a waiver is out, so you can text the link straight to the client.

On the right:

  • Upcoming trips: how your trips split across the statuses.
  • Traveler policies ending soon: annual policies on your travelers that end in the next 60 days. If one of that client's trips starts after the policy ends, it's called out, which is a good moment to talk about renewing.
  • Signed records on file: how many signed declinations and own-coverage answers you hold. Each one keeps the exact wording the client saw. Download them from the trip's Insurance section.

All trips

One row per trip, with the departure date, where it stands, and what's on file: the carrier for an own policy, whether a declination is signed, or when the waiver went out and whether it was opened. Filter to Open or Settled, or search by client, trip or carrier.

Waivers out

Every waiver sent and not yet answered, including waivers sent outside a trip. This is the list the page showed before. Copy a waiver link from here to resend it.

Mine and Everyone

The page shows your own trips and the waivers you sent. Owners and admins on a team can switch to Everyone to see the whole agency.
