Reports & Analytics
The Reports page gives you a high-level view of your agency's performance across revenue, trips, leads, and commissions. Use it to understand trends, spot gaps, and make data-driven decisions.
Accessing Reports
Go to Reports in the sidebar. The page defaults to the last 12 months of data.
Time Range Filter
Use the date range selector in the top right to change the reporting period:
- Last 30 days
- Last 3 months
- Last 6 months
- Last 12 months
- Custom date range
Summary Stats
At the top of the page, four headline numbers give you a quick snapshot:
| Metric | What it shows |
|---|
| Commission Earned | Total commission received after agency split |
| Total Trips | Number of trips created |
| Total Leads | Number of leads added |
| Conversion | Percentage of leads that became clients |
Revenue Tab
The Revenue tab shows your sales and commission performance:
- Total Revenue Sold — the total dollar amount of trips you've sold to clients (trip price)
- Commission Earned — commission payments you've collected, after your agency split
- Commission Expected — commission not yet paid out
- Gross Commission — the full commission from suppliers, before your agency takes their cut
Note: Commissions start as "Expected" when you add them to a booking. They only move to "Earned" when you manually update the commission status on the trip — for example, after your host agency or supplier has paid you. Until then, they'll appear under Commission Expected, and Commission Earned will show $0.
The Monthly Revenue chart shows commission received month by month, so you can spot seasonal patterns and year-over-year trends.
Trips Tab
The Trips tab breaks down your trip activity:
- Trip volume over time
- Distribution by status (active, completed, cancelled)
- Top destinations
Use this to understand your busiest booking seasons and most popular destinations.
Leads Tab
The Leads tab tracks your sales pipeline:
- New leads over time
- Lead sources (web form, referral, direct, etc.)
- Conversion rate from lead to client
- Average time to convert
Commissions Tab
The Commissions tab shows a detailed breakdown of commission activity:
- Commissions by supplier
- Pending vs. received
- Commission per trip or booking
This tab is useful for following up with host agencies on outstanding payments.
Agency Ops Tab
Owner/admin-only operational reports for the people running the agency:
- Past Due by Supplier — every supplier whose expected commission date is in the past and the check hasn't landed. Sorted by dollars, with the max days overdue per supplier flagged red when over 60.
- Unclaimed Bookings — active trips with no assigned advisor. Includes client name, start date, booking count, and total — so you can sweep them onto an owner before they go stale.
- Sales by Agent by Travel Date — aggregates bookings whose trip start date falls inside the date picker window. Useful for sales contests scoped to peak travel periods (e.g., who sold the most July departures, regardless of when they were booked).
- Agents Projected Income — expected commission from trips that are booked but haven't traveled yet. Forward-looking forecast per advisor. Useful for incentive-trip qualification, contract renewals, and W-2 vs 1099 planning.
- Personal Travel Dates — upcoming trips where an advisor is themselves a traveler. We detect this by matching the advisor's name against their trip's traveler list. Useful for planning team coverage and out-of-office.
- Bookings by Supplier by Agent — supplier × advisor pivot. Surfaces which advisor is deep with which brand. Good for QBR prep and identifying knowledge gaps.
- Top 10 Suppliers per Advisor — each advisor's top suppliers by commission earned in the window. Pair with the per-agent leaderboard for review conversations.
- Rolling 12-Month Commission Earned (IATA/CLIA qualification) — trailing 365-day commission per advisor with the $5,000 IATA/CLIA threshold flagged. Run monthly to update who qualifies for a card.
- Users Last Login — every team member with their last sign-in time and days since. The "days ago" column highlights amber when an advisor hasn't logged in for more than 30 days — useful before contract renewal or incentive-trip selection.
Last-Run Timestamps
Each tab carries a tooltip showing Last run X days ago. Owners can hover to see which reports the team actually uses — and prune the ones nobody opens. The timestamp updates every time someone opens that tab.
My Reports vs. Agency Reports
The top of /reports has a My Reports / Agency Reports toggle. The buttons you see depend on your role:
- Owner / Admin — both buttons. Defaults to Agency Reports. My Reports shows your own pipeline, commissions, and trip activity, scoped via the agent filter under the hood. Agency Reports shows the full team rollup including the Agency Ops tab.
- Agent — no toggle. Forced to My Reports. Tabs are renamed ("My Revenue", "My Trips", "My Commissions") and everything is auto-filtered to your own user ID. You never see other agents' numbers and the Agency Ops tab is hidden.
- Support Staff — only the Agency Reports button shows, and the only available tab is Agency Ops (operational reports without dollar amounts). Financial tabs are hidden entirely.
The Subscribe button (scheduled email delivery) is owner/admin only — agents and support staff can't create scheduled report deliveries.
This split solves the "agents shouldn't see other agents' numbers, but owners need both views" problem without making the page feel different for each role.
Tips
- Check Reports at the start of each month to see what commissions are still pending and follow up proactively.
- Use the Leads conversion rate to evaluate whether your intake forms and follow-up process are working.
- Compare your last 12 months to the prior year to spot growth trends.
