Contractor Agreements

When you bring an independent contractor onto the team, JourneyFuse can send them your contractor agreement, collect their signature, and record the executed document against their advisor profile. Both parties sign: the contractor first, then an owner or admin on behalf of the agency.

Set up your template

Go to Settings → Agency → Defaults → Contractor Agreement Template and write your agreement in the editor. This is your agency's standard wording, used for every contractor you send it to.

Rather than retyping names and addresses for each person, drop in merge fields. Click Insert field above the editor and pick one, and it lands at your cursor as a token like {{contractor_name}}. You can also type a token by hand if you prefer.

Merge fields

Merge fields fill in at one of two moments.

Filled when you send — pulled from data JourneyFuse already has:

Filled when the contractor signs — these are personal details we do not hold, or facts that are not settled until the moment of signature:

A typical opening paragraph looks like this:

THIS AGREEMENT is effective as of the {{date}}, between {{agency_name}}, a travel agency, and {{contractor_name}} (Independent Contractor Name) of {{city}} (City), {{state}} (State).

Only the fields your template actually uses are asked for, so a template with no {{city}} never prompts the contractor for one.

Send it for signature

Open Settings → Advisors, click the advisor, and go to the Access tab. Under Contractor agreement, click Send for signature, choose how long the link stays valid, and send.

The advisor gets an email with a private link. If they have no email on file, JourneyFuse generates the link and you can copy it and share it yourself. Send-time merge fields are resolved and frozen into that copy, so later edits to your template never change an agreement already out for signature.

What the contractor sees

They open the link and read the agreement with your details already filled in. If your template asks for their city, state, or address, a short Your details section appears, and the agreement above updates live as they type. They then enter their full legal name and click Sign agreement.

JourneyFuse records their name, the date and time, and their IP address. The values they typed are merged into the stored document, so the copy on file is exactly what they agreed to.

Counter-sign as the agency

A signed agreement shows as Awaiting your signature on the advisor's Access tab, and the workspace owner gets an email. Any owner or admin can click Counter-sign, enter their name and an optional title, and accept on behalf of the agency.

At that point:

  • The agreement moves to Fully executed.
  • The contractor is emailed the fully executed PDF automatically.
  • Both signature blocks, with their dates, appear on the document.

Counter-signing is optional. An agreement the contractor has signed is still on file and still downloadable if you never counter-sign it, it just is not marked fully executed.

Download the PDF

Click PDF on any signed agreement to download it. The PDF carries the full agreement text, both signature blocks, the signing dates, and the contractor's IP address. The contractor can download the same copy from their signing link at any time.

Managing agreements

  • Copy — grab the signing link again for an agreement still awaiting signature.
  • Revoke — kill a pending link, for example if you sent the wrong version.
  • Delete — remove the record entirely. Download the PDF first if you need the copy.

Note: Agreement links expire on the schedule you set when sending (30 days by default). An expired link cannot be signed, so send a fresh one.
