Take Client Payments with Square

Last updated October 17, 2026

If your agency already runs its business on Square, you can collect client money there instead of Stripe. Planning fees and group fund payments (including invoice payments made through a group fund) go to your Square account, and they show up in your Square Dashboard like any other sale.

Stripe stays the default. Nothing changes until an owner or admin switches the agency to Square.

Switching to Square

  1. Open Settings → Payments.
  2. In Card processor for client payments, choose Square. Only an owner or admin can change this.
  3. Choose Connect Square and sign in to Square. Approve the access JourneyFuse asks for: read your business profile, take payments, and issue refunds.
  4. You come back to Settings with Connected to your business name.

Whose Square account gets connected follows the same rule as Stripe:

Your agency settingWho connects SquareWhere the money lands
Advisors collect their own payments (the default)Each advisor connects their own Square accountThe advisor who raised the fee or opened the fund
The agency collects all client paymentsAn owner or admin connects the agency accountThe agency's Square account

Working solo, you connect once and every payment lands in your account.

"No location that takes card payments" means the Square account has no active location set up for online card payments. Turn on online payments for a location in Square, then choose Reconnect Square.

What your client sees

Your client opens the same branded payment link they always get. They choose Pay, pay on Square's secure checkout page (card, Apple Pay, Google Pay or Cash App Pay), and come straight back to your page, which then says the payment is complete. They get a receipt by email, and you get the same notification you would for a Stripe payment.

A proposal with a planning fee works the same way. Your client approves, pays on Square, and lands back on the proposal, which then finishes accepting it for them.

Group funds and fees

If a group fund passes the card fee to travelers, the fee is worked out at Square's online rate of 2.9% plus 30¢, so the fund still nets each traveler's share. The fee is shown on the payment page before the traveler pays.

Refunds

Refund a planning fee or a group fund payment from JourneyFuse the usual way. It goes back to the client's card through Square, and the fee or invoice row is marked refunded. A refund you make in the Square Dashboard instead is picked up automatically.

Switching back, or disconnecting

  • Switching processors only affects new payments. A fee already sent, or a group fund already collecting, keeps the processor it started with, so no payment link a client already has will break.
  • Disconnect in Settings voids any unpaid planning fees sent through that Square account. Open group funds stop taking payments until you reconnect the same Square account, which picks them back up. Money already paid stays in Square.

What is still Stripe-only

  • Saving a traveler's card on file and charging it later.
  • Lower bank-account (ACH) pricing on group funds.
  • Your JourneyFuse subscription. That is always billed separately and is not affected by this setting.

This is part of JourneyFuse’s travel agency software: invoices, client payments and balances tied to every trip.
