Getting Started with JourneyFuse

Most CRMs take a week to set up. JourneyFuse gets you from sign-up to managing real bookings in about 10 minutes. The onboarding wizard walks you through everything — your brand, your team, your commission splits — so you're not hunting through settings menus on day one.

Here's what to expect.

The Onboarding Wizard

After creating your account, you'll land in a three-phase wizard: Setup, Tour, and Activate. You can skip ahead and come back later, but most advisors knock it all out in one sitting.

Phase 1: Setup

Create Your Workspace

First question: "Just me" or "I have multiple agents"? Pick whichever matches your business right now — you can always upgrade to a team workspace later.

Enter your agency name (this shows up on proposals, invoices, and your client portal). If you have them handy, you can also add your CLIA number, IATA/ARC number, and host agency info. None of these are required to get started — add them whenever you're ready.

Invite Your Team (Team Workspaces Only)

If you chose the team path, you can invite up to 3 team members during onboarding. Each person gets a role:

  • Admin — full access to everything, including billing and workspace settings
  • Agent — manages their own clients, trips, and commissions
  • Assistant — supports agents with trip building and client communication, but can't see commission details

Tip: Don't overthink roles right now. You can change anyone's role later in Settings. Just get your key people in so they can start exploring.

Upload Your Logo

This is where it gets fun. Upload your agency logo — PNG or SVG with a transparent background works best. Aim for 512x512 (square) or 512x256 (rectangular).

Then pick your brand color from the preset palette or use the custom color picker. You'll see a live preview showing exactly how your logo and colors look on your client portal. First impressions matter — your clients will see this on every proposal, invoice, and itinerary you send.

Commission Splits

Set your default split percentage — that's the share you keep vs. what goes to your host agency. For example, if you keep 80% and your host keeps 20%, enter 80%.

JourneyFuse comes pre-loaded with 29 common suppliers — Carnival, Royal Caribbean, Disney, Marriott, Sandals, and more — each with their own default commission rate. You can customize rates for any supplier, add new ones, or remove ones you don't use.

Tip: Get your splits right during setup and you'll never have to manually calculate commission on a booking again. JourneyFuse does the math for you on every trip.

Phase 2: Tour

Six quick interactive tours introduce you to the core features:

  1. Command Center — your dashboard with upcoming trips, pending payments, and to-dos
  2. AI Import — paste a booking confirmation email and watch JourneyFuse extract the details automatically
  3. Itineraries — the drag-and-drop builder your clients will love
  4. Proposals — beautiful, shareable pages with pricing and photos
  5. Client Portal — what your clients see when they open your links
  6. Automations — payment reminders, follow-ups, and other tasks that run on autopilot

Each tour takes about 30 seconds. They're worth doing — you'll spot features you didn't know existed.

Phase 3: Activate

Import a Booking

This step is optional but highly recommended. Paste a real booking confirmation email or upload a PDF, and JourneyFuse will extract the supplier, dates, confirmation number, pricing, and traveler details using AI.

It's the fastest way to see how bookings work — and you'll have real data in your workspace from the start instead of staring at an empty dashboard.

Not ready to import real data yet? Click Load Example Data to populate your workspace with sample clients, trips, and bookings so you can click around and explore. Example data auto-deletes after 7 days, so it won't clutter your workspace.

What to Do Next

Now that you're set up, here are the three things most advisors do first:

  1. Create your first trip — see Your First Trip for a full walkthrough
  2. Import your existing clients — upload a CSV from your old system (see CSV Import) or use AI Booking Import to pull in individual bookings from confirmation emails
  3. Set up your email signature — brand every email you send from JourneyFuse (see Email Signatures)

FAQ

Can I change my workspace type from solo to team later? Yes. Go to Settings → Workspace and upgrade anytime. Your existing data stays exactly as-is.

What if I don't know my commission splits yet? Skip it during onboarding and set it up later in Settings → Commission Defaults. You can always override splits on individual bookings too.

Do my clients see the JourneyFuse branding? No. Your client portal, proposals, and invoices show your logo and your brand colors. JourneyFuse stays behind the scenes.

What happens after the 14-day trial? You'll be prompted to choose a plan. All your data is preserved — nothing gets deleted if you subscribe.

Can I redo the onboarding wizard? The wizard only runs once, but every setting it covers is accessible in Settings anytime. Nothing is locked in.
